How to set up an auto-reply in WhatsApp Business (2026)

You set up an automatic reply in the WhatsApp Business app, on the Tools tab: a greeting message for first-time customers, an away message on your chosen schedule, and quick replies you pull up by typing "/". It is free and takes minutes. These are fixed texts: they don't read the question, answer it or book.

Updated: · The steps and menu names are taken from WhatsApp's Help Center, for Android and iPhone, and were checked on 18 October 2026. Sources at the end.

Before you start

  • The WhatsApp Business app. Every setting here lives in it, on the Tools tab. WhatsApp's Help Center documents them for the business app.
  • Business hours in your business profile. Without them, the option to send only outside business hours does not appear.
  • A phone with internet. According to WhatsApp, greeting and away messages are sent only while the device has an active internet connection.

Step 1: the greeting message

Sent automatically when a customer messages you for the first time, or after 14 days with no activity in their chat.

  1. On the Tools tab, tap Greeting message.
  2. Turn on Send greeting message.
  3. Tap the message, write your text and tap OK (on iPhone: under Message, then Save).
  4. Under Recipients, choose Everyone, Everyone not in address book, Everyone except… or Only send to….
  5. Tap Save.

If it isn't sending: check the recipient setting, remember the 14-day rule (anyone who wrote to you in the last two weeks won't get it), and check that Meta Business Agent isn't connected — according to WhatsApp, greeting messages are disabled automatically while it is.

Step 2: the away message

This is what most people mean by "WhatsApp auto-reply": it goes to anyone who writes while it is on, saying you are busy or away from your phone.

  1. On the Tools tab, tap Away message.
  2. Turn on Send away message.
  3. Under Away message, tap the message to edit it, then confirm.
  4. Tap Schedule and choose Always send, Custom schedule (only during the period you set) or Outside of business hours (only available once business hours are set in your business profile).
  5. Tap Recipients to choose who receives it — the same four options as the greeting message.
  6. Tap Save.

Step 3: quick replies

These don't send themselves — they are shortcuts for messages you send often (your address, your hours, parking). They save typing, but someone still has to see the message and hit send.

  1. On the Tools tab, tap Quick replies.
  2. Tap the add button.
  3. Tap Message and write the reply. You can attach an image or video too (not from Web or Desktop).
  4. Tap Shortcut and set the short word that pulls it up.
  5. Tap Save.

In a chat, type "/" to see every quick reply, including default replies the app builds from your business profile (hours, address). You can store up to 50, and a deleted quick reply can't be recovered — keep a copy outside WhatsApp.

What to write

An illustration: sample texts for a made-up hair salon. The message won't answer the question, so it should at least say when you will and what the customer can do meanwhile.

Greeting message

Hi, you've reached Shiran's Salon 👋 Tell us what you'd like done and when suits you, and we'll come back with free times. We reply Sunday–Thursday, 9:00 to 19:00.

Away message

We're closed right now. Your message is in, and we'll reply tomorrow from 9:00. Our address and hours are on our business profile.
  • Say when you actually reply, not "as soon as possible".
  • Promise nothing you aren't sure of — a fixed message also goes out on the day things changed.
  • Ask the customer to say what they need, so in the morning one message can answer it.

And "sending an automatic message" to many customers?

Greeting and away messages respond to someone who wrote to you. To send a message to many people at once, the app has marketing messages: according to WhatsApp's Help Center you pay for each delivered message, they are available only in some countries, and in some they have become business broadcasts. That is a mailing tool, not a reply to customers who write in.

What the auto-reply doesn't do

  • It doesn't read the question. "Any slots tomorrow?" and "How much is colour?" get the same text.
  • It doesn't book. The customer is still waiting for a real answer, and sometimes messages another business meanwhile.
  • It doesn't understand a voice note or an image. It simply ignores the content.
  • It depends on the phone. With no internet on the device, these messages aren't sent.

That is where a bot comes in. Ariko reads every message, answers only from the business information you entered, books, cancels and moves appointments in Google Calendar, and understands voice notes and images. When it doesn't know something, it says someone from the team can answer and offers to pass it on; when the customer agrees, the question reaches you. The full comparison: WhatsApp Business auto-reply or a bot.

If you add a bot on the same number: after connecting, send a message from another phone and check the customer doesn't get both the away message and the bot's reply. If they do, turn the away message off in the app.

Frequently asked questions

How do I set an automatic message on WhatsApp?

In the WhatsApp Business app, on the Tools tab: "Greeting message" for new customers and "Away message" for the hours you choose. Turn it on, edit the text, pick the schedule and recipients, and save.

Why isn't my greeting message sending?

Usually the 14-day rule: it only goes out on a first message or after 14 days of inactivity. Other reasons WhatsApp lists: a recipient setting that excludes the customer, a phone with no internet, or Meta Business Agent connected — which disables it.

Can the auto-reply run only outside business hours?

Yes. In the away message, choose "Outside of business hours" under Schedule. The option appears only once business hours are set in your business profile.

Does WhatsApp Business auto-reply cost anything?

Greeting messages, away messages and quick replies are free. Marketing messages to many customers at once are charged per delivered message. A bot that answers the question itself: with Ariko you build and test at $0 — No WhatsApp connection — and on WhatsApp from $99 a month before VAT, with Meta's charges included.

Can the auto-reply answer customers' questions?

No. It sends the same text to everyone who writes. To answer the question itself — hours, price, availability — you need a bot that reads the message and answers from the business's own information.

How many quick replies can I save?

Up to 50, according to WhatsApp's Help Center. You can attach images and videos from the phone app, and pull them up in a chat by typing "/".
