A WhatsApp bot for clinics and therapists
A WhatsApp bot for a clinic answers patients 24/7 on repeat questions — hours, treatments, length, location, preparation — and books straight into the clinic's Google Calendar. Ariko answers only from your information and is no substitute for medical advice: you add a rule sending medical questions to your team, and test it. Building and testing is free.

What patients write about — and what the bot does with it
Most messages to a clinic are the same few questions, and they arrive exactly when you are mid-treatment and cannot answer. These are the kinds a bot handles well, and the kind it should pass on.
- "Do you have anything this week?"
- The bot checks your calendar and offers only times you are actually free, within your hours and the length of the treatment. The patient picks one, and it is written to the calendar with their name and the treatment.
- "How long is a first session? What should I bring?"
- Length of each treatment, what to wear, whether a referral is needed, the cancellation policy — if it is in the clinic's information, the bot answers. If not, it says someone from the team can answer, and offers to pass the question on.
- "Will my supplementary insurance cover it?"
- This is where a guessing bot promises something the clinic cannot honour. Ariko answers only if you wrote the answer yourself; otherwise the question goes to your team.
- "I need to cancel" / "Can we move it to another day?"
- The bot finds that patient's appointment, cancels or moves it, and the freed time can be offered to the next patient.
- "It's been hurting for a week, is that normal?"
- That is a medical question, and not one for a bot. You write in Ariko's rules that every medical question goes to a member of the team, and check in the test chat that this is what happens — before a real patient writes.
What it looks like in a chat
An illustration: a made-up physiotherapy clinic, not a real customer. Its rules say "no medical advice — pass it to the team", and its information has nothing on insurance refunds.
Appointments straight into the clinic's Google Calendar
Connect the clinic's Google Calendar from inside the product and set up your treatment types. From then on the bot books for you — and checks the calendar before every offer.
- A length per treatment. A first visit can be longer than a follow-up, and the bot offers only a slot long enough for the one chosen.
- Time before and after. A gap to reset the room or write notes, so appointments are not booked back to back.
- How soon, and how far ahead. For example: nothing on the same day, nothing more than a month out.
- Your approval before each booking, if you want it. The bot holds the slot, the approval request reaches you on WhatsApp at the business contact number you set (the request itself is in Hebrew), and the patient gets a final confirmation only after you approve.
- A reminder the day before. Sent through a message template approved for the business's WhatsApp; no approved template, no reminder.
What we read from the calendar: only when you are busy and when you are free, and the list of calendars in the account (their names), so you can pick the one to book into. Event titles, contents and attendees are not read or stored, and the bot creates, moves and deletes only events it created itself.
Worth knowing first
- It is not a medical tool. Ariko isn't built to diagnose or recommend treatment, and doesn't replace a professional. Its job is the clinic's admin — and the rule that sends medical questions to the team is one you write yourself.
- WhatsApp is not an emergency line. Write in the clinic's information what to do in an emergency, so the bot points there instead of trying to handle it.
- Don't ask for medical details in the chat. Conversations are stored in the product, and you can set how long until they are deleted. Security and privacy.
- One calendar per business. The bot books into the one Google Calendar you connect. If each therapist keeps a separate calendar, talk to us first.
Frequently asked questions
How much does a WhatsApp bot for a clinic cost?
You build the bot and talk to it in the test chat on the Free plan, $0 — No WhatsApp connection. WhatsApp connects on paid plans: Solo $99 a month (1,000 messages, up to 2 users), Business $149, Growth $199 and Scale $399. Prices exclude VAT. Full details on pricing.
Will the bot give patients medical advice?
It shouldn't, so you say so explicitly: in the rules field, write that every medical question goes to the team. The rules go into Ariko's instructions in every conversation, and you check the result in the test chat. Facts about the clinic come only from the information you entered.
Can the bot connect to the clinic's calendar?
Yes, to Google Calendar. The bot offers only free times, books, cancels and reschedules, and can leave each booking for your approval before the patient gets a final confirmation.
What happens when a patient asks for a person?
When a patient asks for a person, the bot stops replying in that conversation and you get an alert. When the bot itself doesn't know something, it says someone from the team can answer and offers to pass it on; when the patient agrees, the question reaches you and the bot keeps helping with the rest until someone from the team replies. And you can take over any conversation with one click, and hand it back when you're done.
Can we keep the clinic's WhatsApp number?
Yes, if the number is on the WhatsApp Business app. On paid plans you connect it from inside the product — log in with the Facebook account that manages the business and scan a QR code — and the app on your phone keeps working as usual.
Does the bot understand voice messages?
Yes. Ariko understands voice messages and images, and when a patient sends several messages in a row it waits a few seconds and answers them together.
