WhatsApp Business auto-reply or a bot: the difference, and when the free one is enough

The WhatsApp Business app includes a free greeting message, away message and quick replies. These are fixed texts: they don't read the question, answer it or book an appointment. A bot like Ariko reads every message, answers from the business's information and books into Google Calendar. If you get few enquiries and reply within hours, the free one is enough.

Updated: · What WhatsApp Business and Meta Business Agent can do was checked in WhatsApp's Help Center on 13 October 2026. Sources at the end.

What exactly is free in the app

Greeting message

Sent automatically when a customer messages you for the first time, or after 14 days with no messages in the chat. Anyone who wrote in the last two weeks won't get it.

Away message

"We're not available right now." Send it always, on a schedule you set, or outside business hours. It goes out only while the device has an internet connection.

Quick replies

Shortcuts for messages you send often. They save typing — but you still have to see the message and send.

The same message, two answers

An illustration: a made-up hair salon, 22:40, the owner is no longer near the phone.

Away message

Any haircut slots tomorrow afternoon?
Thanks for your message! We're not available right now and will get back to you soon.

The customer still doesn't know if there's a slot. If someone else answers her tonight, that's where she goes.

A bot that reads the question

Any haircut slots tomorrow afternoon?
Hi! Tomorrow there's 16:00 or 17:30. Shall I book one for you?

The times were checked in Google Calendar, and the appointment is booked that night.

What about Meta's own AI?

Meta has its own AI agent inside WhatsApp Business — Meta Business Agent — that answers customers, learns from past chats, and Meta also documents a Google Calendar connection for it. According to WhatsApp's Help Center, as of 13 October 2026 it is available only to selected businesses in a limited number of countries, with a waitlist, and not in every language. While it is on, Meta documents that the greeting and away messages are switched off.

If it is already open to you, it's worth trying on your real questions and comparing. If not, or if you need a bot that answers only from what you wrote and hands over what it doesn't know, that is what Ariko does today, in Hebrew.

When the free one is enough, and when it isn't

The free one is enough when…

  • A few messages a day arrive, and you reply within hours.
  • Most questions are different, and need you.
  • You don't book appointments from the chat.

A bot is worth it when…

  • The same questions come back — hours, prices, location, availability.
  • Enquiries arrive in the evening and at weekends, and customers don't wait for morning.
  • Appointments are the heart of the business, and you're mid-job when people write.

You can have both. Ariko connects to the same WhatsApp Business number, and the app on your phone keeps working. After connecting, send a message from another number and check that the customer doesn't get both an away message and a bot reply — and if they do, switch the away message off in the app.

Frequently asked questions

How do I set up an auto-reply in WhatsApp Business?

In the app, on the Tools tab: Away message — turn it on, edit the text, and choose when to send and to whom. The greeting message and quick replies are in the same place. Step-by-step setup.

What's the difference between an away message and a bot?

An away message sends the same text to everyone who writes, without reading the message. A bot reads the question, answers it from the business's information, and can book an appointment.

Does WhatsApp Business have a built-in bot?

There is Meta Business Agent, but according to WhatsApp's Help Center it is currently available only to selected businesses in a limited number of countries. If there's no AI agent option on your Tools tab, it isn't open to your business yet.

Can I keep WhatsApp Business and add a bot?

Yes. With Ariko, on paid plans, you connect the same number by scanning a QR code, and keep using the app on your phone as usual.

What does it cost to move from auto-reply to a bot?

With Ariko you build and test free, $0 — No WhatsApp connection. For it to answer customers on WhatsApp: from $99 a month before VAT. Every cost broken down, including Meta's.
