A WhatsApp bot for private tutors, enrichment classes and driving instructors

A WhatsApp bot for a tutor, a class or a driving instructor answers students and parents 24/7 about the price per lesson, location and cancellation policy — only from what you wrote — books a lesson in Google Calendar, and moves or cancels it on request. Each lesson is booked separately: no recurring series, and no payment through the bot.

What students and parents write — and what the bot does

"Can we move tomorrow's lesson?"
The bot finds the lesson booked from this number, offers other free times from the calendar, and moves it. The freed time can be offered to another student.
"When is my next lesson?"
The bot sees the upcoming lessons booked through it from the same WhatsApp number, and answers. A lesson you put in the calendar or the dashboard yourself isn't linked to the student's chat, so the bot doesn't know about it.
A parent writing for a child
The lesson is booked under the name the parent gives — the child's — with a note if needed ("Year 8, maths"). It is linked to the parent's number, so the parent is the one who can check, move and cancel it from their phone.
"How much is a lesson? Is there a package?"
Each lesson type can have a length and a price, and package prices go in your business's information. What isn't written, the bot doesn't guess; it says someone from the team can answer, and passes it to you when the customer agrees.
"Where do you pick me up?" (driving instructor)
Each lesson type can have a location, and the student can add a note with the pickup point. Questions about the driving test itself and dates with the authorities — only if you wrote an answer; otherwise they come to you.

What it looks like in a chat

An illustration: a made-up private maths tutor, not a real customer. The mother booked the lesson through the bot a week earlier, from the same number.

Hi, this is Noam's mum. Can we move tomorrow's lesson? He has a school trip
Hi! I found Noam's lesson tomorrow at 17:00. It can move to Thursday at 16:00 or 18:00. Which works?
Thursday at 18:00. And can we make it every Thursday?
Moved: Thursday 18:00, Noam's lesson. I don't set up standing weekly lessons — each one is booked separately — but the tutor can arrange that. Shall I pass her the request?
Yes please
Done — I've passed it to the tutor 🙂

Lessons in Google Calendar

Connect Google Calendar and set up your lesson types. The bot checks the calendar for when you're busy and offers only free times — so a lesson you added yourself won't be double-booked.

  • A length per lesson type. 45 minutes, an hour, an hour and a half — and the bot offers only a slot long enough.
  • Time before and after. For driving between students, or setting up between class groups.
  • How soon, and how far ahead. For example: nothing on the same day, nothing more than three weeks out.
  • Your approval before each lesson, if you want it. The bot holds the slot, and the approval request reaches you on WhatsApp at the business contact number (the request itself is in Hebrew).
  • A reminder the day before. Through a message template approved for the business's WhatsApp; no approved template, no reminder.

Frequently asked questions

How much does a WhatsApp bot for a private tutor cost?

You build and test on the Free plan, $0 — No WhatsApp connection. With WhatsApp: Solo $99 a month (1,000 messages, up to 2 users), then Business $149, Growth $199 and Scale $399, before VAT. All plans.

Can the bot book a standing weekly lesson?

No. It books each lesson separately. A request for a standing lesson it passes to you, and each single lesson it books, moves and cancels itself.

How does a student reschedule a lesson on WhatsApp?

They write to the bot. It finds the lesson booked from that number, offers free times from the calendar, and moves it — without you having to reply.

Does it suit a driving instructor?

Yes, for one-to-one lessons: a length per lesson, travel time between students, and a location or pickup point in a note. Questions about the test itself come to you, unless you wrote an answer in your business's information.

What about a class with groups?

The bot answers about the timetable, ages and prices — whatever you wrote. It doesn't count free places in a group, so it passes the sign-up to you, or points to a sign-up link you wrote in your business's information.

Can I keep my existing number?

Yes, if it's on the WhatsApp Business app. On paid plans you connect it by scanning a QR code, and keep replying from your phone as usual.
